Farm record keeping templates

Three printable sheets for the records that matter most when you make the next decision: what was done in each field, what you saw while scouting, and what each field received. Every sheet comes blank and as a filled example. Free, no signup.

Why keep these records

A record earns its place later, when you have to decide something. Why did the north block fall behind? Was last season's nitrogen rate enough? When did the pest first show up, and how fast did it spread? Without a date, a field and a quantity written down on the day, those questions have no answer.

The three sheets work together. The work log says what was done, the scouting report says what you saw, and the application record says what the field received. Read side by side, they give you the history of one field across a season.

How to use the sheets

  1. Print the blank sheets in landscape on A4 or US Letter. Keep one set per season on a clipboard or in a binder.
  2. Fill in a line on the same day. The date, the field and who did the work matter more than neat handwriting.
  3. Give each field one name and use it on every sheet, so the three records can be read together.
  4. Write down references: photo numbers, soil test numbers, product batch numbers. They lead you back to the evidence.
  5. Write dates as year-month-day (2026-04-14) so nobody mixes up day and month. The examples use metric units; the application record lists the imperial conversions.

Record-keeping rules differ by country, crop and buyer, so check which ones apply to your farm.
